Motion calendar hearings can move FAST, so being prepared is key when you’re the digital court reporter on the record. Here are a few tips that have helped me stay organized and capture a clean record:
🎧 Test your audio early
Whether you’re on Zoom or in the courtroom, always test your microphones and recording software before the calendar starts. Motion calendars can begin quickly and you don’t want to be scrambling.
💻 Zoom Hearing Tip:
Rename yourself in Zoom as Court Reporter so attorneys and the judge can easily identify who is responsible for the record.
🎤 Use multiple audio sources
For Zoom hearings, record both the platform audio and your backup recorder. Redundancy is everything in digital reporting.
📄 Have your case list ready
Motion calendars usually involve multiple cases back-to-back. Having the case style or docket list ready helps you quickly identify which case is being called and stay organized.
🏛️ In-Person Hearing Tip:
Position your microphone where it can pick up both the judge and the podium. Courtrooms can have tricky acoustics, so placement matters.
⏺️ Be ready when each case is called
As the judge calls each case on the calendar, make sure your recording is active and you’re ready to capture the matter from the start. This helps keep each case clearly separated in your record.
📑 Stay alert for quick rulings
Many motion calendar hearings are short and fast-paced. Be ready to start and stop recordings quickly as each case is called.
