I recently started a targeted outreach project focused on estate planning attorneys who are building a more comprehensive, remote client experience.

The problem I identified?

An attorney may have the legal process, documents, and client experience mapped out—but when it’s time for ex*****on, they still need a knowledgeable online notary who understands the process, has a reliable platform, and can help coordinate witnesses when needed.

Six years ago, I thought being a professional notary meant knowing my laws, having the right supplies, showing up on time, and completing the notarization correctly.

Those things still matter.

But six years in business has taught me that professionalism is MUCH bigger than the stamp.

It's how you show up.

It's how you speak to people—and how well you listen.

It's being prepared before you arrive instead of figuring everything out in front of the customer.

It's protecting someone's private information even when it would be easier to take a shortcut.

It's knowing when you can help and having the confidence to say no when you can't.

It's understanding the scope of the job you were hired to perform—and knowing when that responsibility ends.

It's following through after the appointment when there is still work to be done.

And yes, it's even how you present yourself before you've said a single word.

I've learned a lot about notarization over these six years.

**FREE NOTARY SERVICES CAN SOMETIMES COST YOU MORE THAN YOU THINK!**

Let me share something that happened in my office today.

A customer came in with **10 documents that needed an apostille.** All 10 documents had already been notarized at their bank.

Unfortunately, **EVERY SINGLE DOCUMENT was notarized incorrectly.**

My customers had spent a good portion of their day waiting for the bank notary to become available, only to end up in my office having all 10 documents notarized again.

Now, don't get me wrong. There's absolutely nothing wrong with taking advantage of free notary services offered by your bank. But before you do, I encourage you to ask one simple question:

**"Are you familiar with notarizing this type of document?"**

If the notary seems uncertain, you may want to reconsider.

Here's what many people don't realize. Just because someone holds a notary commission doesn't mean they have the training or experience necessary to properly perform every type of notarization.

Some employers pay for their employees' commissions and insurance but don't necessarily require additional training. That responsibility often falls on the individual notary.

And yes, there are some excellent bank and UPS notaries out there! But there are also notaries who need additional education.

When you're dealing with documents that require an apostille, mistakes can lead to rejections, delays, additional expenses, and a whole lot of frustration.

It's not because I want everyone to come to me for notary services. I want you to be an informed consumer. I want you to know what questions to ask and what to look for when choosing ANY notary.

“I need this notarized ASAP!”

We get those calls.

A deadline is approaching. A document was forgotten. Someone suddenly realizes they need a witness. Or they thought they had more time.

If I have availability, I’ll absolutely do my best to help.

But a last-minute appointment doesn’t mean we skip the process.

You still need acceptable identification.

Required witnesses still need to be present.

The document still needs to be ready.

And I still have to follow the same notarial procedures whether you booked three days ago or called me three hours before your deadline.

The signing is finished. I pack up my notary bag, say goodbye, and leave.

So my job is done, right?

Not always. 😂

Depending on the type of appointment and who hired me, there may still be work to do behind the scenes.

For a closing, I may need to:

✔️ Review the documents before leaving
✔️ Complete required records
✔️ Scan and securely upload documents
✔️ Package and ship the originals
✔️ Update the hiring company
✔️ Submit an invoice
✔️ Properly delete temporary document copies when they're no longer needed

For other appointments, there may be different follow-up requirements based on the service provided.

The customer usually sees the signing.

They don't always see the preparation before I arrive or the administrative work that happens after I leave.

That's why professional notary service is about much more than showing up with a stamp.

The appointment may be over, but there's often still work to do.

And once my responsibilities are complete, I make sure I know where my role ends, too.

“I just need you to come to the hospital and notarize a document.”

I can absolutely check my availability—but first, I’m going to ask you a few questions.

Hospital notarizations require preparation.

Before I accept the appointment, I may ask:

Is the signer alert and able to communicate with me?

Does the signer have acceptable identification?

Do you already have the document?

Are witnesses required, and if so, have they been arranged?

Can the signer physically sign the document, or are there circumstances I need to know about beforehand?

These questions aren't meant to make the process difficult.

They're meant to prevent everyone from arriving at the hospital only to discover that the notarization cannot be completed.

One of the most important things I need to determine when I arrive is whether I can communicate directly with the signer and whether they appear aware of what they're doing.

Family members can help coordinate the appointment, but they cannot answer for the signer during the notarization.

And being in a hospital doesn't mean I lower the standard because the situation is urgent or emotional.

The same notarial requirements still apply.

That's why I ask questions BEFORE I grab my notary bag and head out the door.

A few minutes of preparation can save the family time, save the notary a trip, and help us determine whether the appointment can reasonably move forward.

Hospital notarizations require more than a stamp.

They require preparation, patience, and professionalism.

If you already have your own witness and they meet the requirements for your specific document, you’re good to go! If not, we can help coordinate a qualified witness for your appointment.

Witness requirements can vary depending on the document, the applicable law, and how the signing is being completed, so it’s important to make sure your witness meets the requirements before your appointment.

For Florida remote online notarizations, a witness participating remotely must be a U.S. resident and physically located within the United States or a U.S. territory at the time of witnessing.

No witness? No problem. That’s one more detail we can help you coordinate.
