🚨 NOTARY TIP #15 OF 100: NEVER BACKDATE A NOTARIZATION! 🚨

I don’t care WHO asks you, HOW much they’re willing to pay, or WHAT excuse they give you! 🙅🏽‍♀️

As a notary public, you should NEVER backdate a notarization!

📌 Backdating means intentionally putting an earlier date on a notarial certificate than the date the notarization actually took place.

For example, if someone comes to you on October 15th and asks you to notarize their signature but put October 10th as the notarization date… THE ANSWER IS NO! ❌

⚖️ Backdating a notarization can result in serious consequences, including:

❌ Suspension or revocation of your notary commission

❌ Civil penalties or potential criminal charges

❌ Damage to your professional reputation

💡 REMEMBER: Your job as a notary is to protect the integrity of the notarization process, NOT to help someone meet a deadline by falsifying dates!

And here’s something important: A document may have an earlier date printed on it, but that does NOT mean you can backdate your notarial certificate. Those are two different things!

🗣️ FELLOW NOTARIES: Have you ever had someone ask you to backdate a notarization? 👀 Drop your experience in the comments!

📌 **NOTARY TIP #17: FOLLOW UP, FOLLOW UP, FOLLOW UP!**

One of the biggest mistakes notaries make is assuming that because a potential client didn’t respond the first time, they aren’t interested.

They may have been busy. They may not have needed you *that day*. They may have forgotten your name. Or they may simply need to see you a few more times before they feel comfortable doing business with you.

That’s why your marketing can’t be **one and done.**

☎️ Make the phone call.
📧 Send the follow-up email.
📱 Engage with their business on social media.
🤝 Stop by and introduce yourself when appropriate.
🔁 Then FOLLOW UP again.

Your goal is to become familiar enough that when they finally need a notary, **your name is the one they remember.**

And remember: following up doesn’t mean bothering people. It means staying visible, professional, and consistent.

💬 **How many times are YOU following up before you give up on a potential client?**

🚨 NOTARY TIP #14: Know the difference between your notarial acts!

Acknowledgment? Jurat? Oath or affirmation? Signature witnessing? 🤔

As a Notary Public, you need to understand which notarial acts your state authorizes, what each one means, and how to properly perform them.

And remember—notary laws vary from state to state. What a notary can perform in one state may not be authorized or executed the same way in another.

Knowing your notarial acts helps you avoid mistakes, stay within the boundaries of your commission, and confidently serve your clients. 📚✍🏾

⚠️ NOTARY TIP: Your notarization could end up in COURT.

As a Notary Public, you may be subpoenaed or asked to testify if a will, power of attorney, deed, or other document you notarized is later contested.

That’s why following your state’s notary laws EVERY. SINGLE. TIME. matters. 👏🏽

Properly identify the signer.
Complete the certificate correctly.
Follow required procedures.
Keep accurate records when applicable.
And NEVER take shortcuts just because someone says, “It’s fine.”

If a notarization is challenged, your actions—or failure to follow required procedures—could be questioned and potentially expose you to allegations of negligence.

📚 Protect the signer. Protect the integrity of the document. Protect your business.

🚨 NOTARY TIP #13: Stay FAR Away From the Unauthorized Practice of Law!

As a notary, knowing what you cannot do is just as important as knowing what you can do.

Unless you’re also a licensed attorney, be careful not to cross the line into giving legal advice. That can include:

❌ Telling a signer which document they need
❌ Explaining what legal language means or how it affects them
❌ Advising someone on how to complete a document when it requires legal judgment
❌ Choosing a notarial act for the signer when they don’t know which one they need

Your job is to perform the notarization—not provide legal advice. When a question goes beyond your authority, refer the signer to an attorney or another appropriate professional.

Protect your commission. Protect your business. Know your boundaries. 💯

🚨 NOTARY TIP #12 OF 100: Know How to Properly Identify Your Signer!

Before you notarize a document, you need to know WHO is actually standing in front of you. 🪪

Depending on your state’s notary laws, acceptable methods of identifying a signer may include:

🪪 Government-issued identification
👥 Credible witness(es)
🤝 Personal knowledge

But remember: every state is different. What another notary can accept in their state may not be acceptable in yours.

Knowing how to properly identify your signer is one of the most important parts of performing a lawful notarization. Never guess—know your state law. 📚

🚨 NOTARY TIP #11 OF 100: Know What You CANNOT Legally Notarize!

Being a commissioned notary doesn’t mean you can notarize every document or perform every type of notarization that comes your way.

⚖️ Notary laws vary from state to state. Something permitted in one state may be restricted or handled differently in another.

Before accepting an appointment, make sure you understand YOUR state’s laws, prohibited acts, identification requirements, acceptable notarial acts, and when you need to say, “I legally cannot notarize that.”

Knowing when to say NO is just as important as knowing how to notarize correctly!

📚 Never rely solely on what another notary in another state told you—know YOUR state law.
