EVER CALL THE V.A. AND GET THE TELEPHONE MERRY-GO-ROUND? HERE AT CLEVELAND WE ARE MAKING CHANGES TO STOP THE PHONE MERRY-GO-ROUND

The Cleveland Veterans Mental Health (MH) Council is a community council that meets monthly. In a quarterly report to the Louis Stokes Cleveland VA Mental Health Executive team, the Veterans Council Chair (John Merritt) shared that Veterans were frustrated when calling in for mental health needs. They would often get misdirected or sent to a voicemail. Leadership responded by forming an interdisciplinary subcommittee which included a Veteran to participate in this improvement process. The primary goal was to develop a “One Point Entry for callers seeking mental health assistance”. The committee met on several occasions and developed a plan to resolve using a “Plan, Do, Check, Act” (PDCA) model with a 90-day pilot which included:

· A streamlined phone tree with a “New MH Veteran” option;
· An option for a live pick-up by a Registered Nurse;
· An improved scheduling call center to resolve calls with appropriate personnel.

The 90-day pilot was a monumental achievement and the process led to formal implementation. Now when a Veteran calls the main hospital number 216-791-3800, they can enter extension 1035 or will be directed to extension 1035, and have the options as follows:

· To Schedule or cancel an appointment, press 1
· If you are a “New patient” and do not have an assigned Mental health provider, press 2
· For Medication or pharmacy, press 3
· If you are calling regarding a medical question and would like to speak to a nurse or provider, press 4
