Judges and juries form opinions about Notaries based on how records are kept in a Notary journal Consequently, a poorly maintained journal with multiple cross-outs or otherwise illegible “chicken scratches,” a journal that omits information required by law or one that is sloppy or too disorganized to easily navigate, could readily be considered evidence of poor recordkeeping and therefore is unlikely to protect the Notary against accusations of negligence in a court of law if the Notary is sued. Make sure your journal entries are legible, organized, and ordered consecutively by date, allowing for easy access — even years down the line.

My first Notary act was nerve racking. I was still in the process of getting acclimated to things when I received my first call. The clients were a couple needing a Living Trust notarized. After obtaining the remaining information that I needed, we scheduled the appointment for a Saturday.
I arrived that Saturday at the appointed time. We introduced ourselves and proceeded with the signings. At the end, I realized I neglected to bring my stapler and cash for change (just in case). And, guess what? Of course I needed both! The wife was kind enough to offer me a stapler AND she was able to find the exact amount needed to pay for the notarizations. On top of that, as I got down the street, it hit me that I neglected to mark something on the certificate. I made a u-turn and went back to the client's home to correct my error. I waived the mileage fee (mainly because they were my first clients) but also as a courtesy because it was unprofessional that I wasn't fully prepared.
Once I got home I immediately wrote down what I did wrong and how I could've done better. From there I created a checklist of what to do that I use on EVERY single call from the initial contact to the conclusion of the signing in order to prevent any issues in the future.
I told this story to say... we're human and we make mistakes. But we shouldn't beat ourselves up repeatedly. Learn from them. Immediately rectify the problem, devise a plan to ensure it doesn't happen again! Then continue living your best life : )
